If you’ve ever managed a building — or worked alongside someone who does — you know the job is mostly invisible until something goes wrong. With so much square footage to cover, problems stay hidden until they’re right in front of you. Burnt-out bulbs, leaky faucets, the tasks pile up fast, and keeping track of them with a notepad or sticky notes just doesn’t cut it anymore.
So I built Facility Manager: a focused task management app designed specifically for the people who keep buildings running.
What It Does
At its core, Facility Manager is a prioritized task tracker built around the layout of your facility. You define your rooms and areas, then create maintenance tasks assigned to those locations. No bloated project boards, no complicated workflows, no subscriptions.
The app features smart priority dampening. If an area has been consistently flooded with tasks over the past month, the app automatically reduces the effective priority of new tasks there — not dramatically, but enough to let you keep the rest of the building from falling behind. It’s a subtle nudge toward balanced workloads, built right into the sorting algorithm.
Built Around How Real Facilities Work
Tags let you categorize tasks by type — Cleaning, Repair, HVAC, Electrical, Plumbing, Painting, Preventive Maintenance, Safety Check — making it easy to plan specialized maintenance days.
Room management is flexible. The app comes pre-loaded with common spaces, but you can rename, add, or remove rooms to match your building exactly. Need to replicate the same setup across multiple locations? Export your room configuration as a JSON file and import it anywhere.
The archive keeps a 30-day history of completed tasks — useful for reports, accountability, or confirming something actually got done. Tasks expire automatically, keeping the history clean without manual cleanup.
Reports give you a yearly breakdown of task volume per room, visualized as a bar chart. At a glance, you can see which areas consistently demand the most attention and plan resources accordingly.
No Accounts. No Cloud. No Friction.
Everything in this version of Facility Manager lives on your device. There’s no account to create, no server sending your data anywhere, no monthly fee. Data is stored locally, which means it works completely offline — useful in basements, server rooms, and anywhere else cell signals don’t reach.
